Catalogue, labour types and charges

The products, services, labour types and bundles RevoPSA sells, how labour types round and bill time, and charging products used on a ticket.

Catalogue (Service desk group, owners and admins) lists what you sell. Estimates, ticket charges, contract lines and purchase orders pick from it.

Items

Each item has a kind, a name, an optional SKU and category, a price and an optional cost (only owners and admins see costs):

  • Products and services are billed once or every month (a monthly item fills a contract line or an estimate's monthly line).
  • Bundles have their own price and list the products they're made of ("New starter kit: a laptop and two cables"). On a ticket or an estimate a bundle is one line that names what's in it.
  • Labour types are what time is logged as ("Remote support", "On-site visit"). Their price is a rate per hour.

Prices apply to what's added from now on: estimates, charges and contracts keep the prices they were given. An item that time or charges use can't be deleted; switch off In use to archive it.

Labour types

A labour type sets, for each time entry logged with it:

  • Rounding: up to a multiple of 1, 5, 6, 10, 15, 30 or 60 minutes (20 minutes rounded to 15 bills 30).
  • Minimum: at least this many minutes per entry.
  • Billable by default: new time with it is billable unless the person switches it off.

Default labour types (under the list) pick the labour type new time gets when the person doesn't choose one: theirs, else the workspace's. On a ticket, Log time has a labour type picker.

How a contract bills each labour type (free under the contract, its own rate) is set on the contract: see Contracts and billing.

Products used on a ticket (charges)

A ticket's Products used section adds catalogue items to the ticket at the customer's price (the contract's price for that item, else the catalogue's). They go on the customer's next one-off invoice draft in the monthly billing run and are billed once. Technicians add items at their price; a different price, or an item that isn't in the catalogue, needs billing rights. A charge can be removed until a run bills it.

Before a ticket is resolved, Revo checks its time: if none is logged, or billable time has no contract or labour type rate to bill it at, it asks before resolving.
